Last Steps in Augsburg

Before you can wrap up your exchange stay, please bear in mind that there are some important things to take care of. Here you can find an overview of the steps you should start completing about 3 weeks before leaving:
Your Last Steps in Augsburg
When?: 2-3 weeks before you leave
In order to get your security deposit for your dormitory room back, you need to make an appointment for moving out of your room with the Hausmeister (dorm manager). Please make the appointment as early as possible – two weeks before your departure at the very latest.
You have received an email from the Studierendenwerk containing a document about the transfer of the security deposit which you must hand in before the appointment with the Hausmeister. For the appointment, you will also need the "?bergabezertifikat" (certificate of delivery), that you received when you moved into your dormitory room.
Please clean your room thoroughly! If you leave something in your room behind, or if it is not completely cleaned, the Studierendenwerk will have to clean it again. The cost of this is rather expensive and will be deducted from your security deposit.
Please plan accordingly on your day of departure so that you will have enough time. The inspection of your room can take from 15-60 minutes. If you are not fluent in German, we suggest that you ask your Buddy to be present as most of the Hausmeister are not fluent in English. To avoid any dispute later, it's important that you can communicate about possible defects of the room (if it has to be painted again etc.) at the time of the hand over. Please make sure to get a copy or at least take a photo of the Abnahmeprotokoll (certificate signed at the hand-over about the condition of the room).

If everything is ok with your room, the security deposit which you paid at the beginning of the semester will be transferred back to your account (that you submitted to the Studierendenwerk) about 3 months after the semester ends.

Before your departure, you need to terminate your German health insurance if you have one. If you have registered for your health insurance via an online provider, you can terminate your health insurance online as well. You might need to attach some form of proof that you have finished your studies in Augsburg (such as flight tickets or the proof of the deregistration from the city, see point 4).

- copy of your flight tickets back home
- any other document our health insurance provider might request.
When?: - 2 weeks before you leave (Non-EU nationals)

When you leave Augsburg you need to de-register your residence with the city. To do this, you have to fill out the
Abmeldungsformular. Please use the fill-in manual. If you still have trouble with the German form, ask your Buddy or the International Office for help.
NON-EU NATIONALS
Send the form along with a scan of your passport including your visa (if applicable) or residence permit via email to
aufenthalt.uni@augsburg.de. The city will then send you a confirmation that you have de-registered called "Meldebest?tigung" to your postal address.

EU NATIONALS
Please send the form to
einwohnerwesen@augsburg.de. The city will then send you a confirmation that you have de-registered called "Meldebest?tigung" to your postal address.
When: Right after you have received the confirmation about the de-registration with the city (see point 4.)

As soon as you have received the confirmation about the de-registration with the city ("Meldebest?tigung"), you need to de-register with the GEZ to end your public media subscription. If you do not de-register, the GEZ will continue to deduct the fee from your bank account.
To de-register, you need to fill out a German online form which you can find
here.

When: before you leave, during the time-slots provided by the International Office

Please check out personally at the International Office before you leave. We would like to clarify any last questions you might have and get your feedback on the exchange to improve our program in the future.When: After all transcations have been completed and you no longer need the accounts

Please remember to close your blocked account when you no longer need it. Check with your blocked account provider to find out about the closing procedure and which documents you need.

Also, close your German bank account as soon as you are sure that there will be no more transactions. Make sure that there are no outstanding direct debits or transcations when closing it. Bear in mind that the dormitory deposit will be transferred to your German bank account, so please do not close the account before you have received it. Depending on the bank, you might be able to close the account online or in-person. Check with your bank to find out about the procedure and the documents needed.
When?: Until 31 March (for the winter semester) or 30 September (for the summer semester) at the latest.

Once all your exams have been graded, you can download your Transcript of Records in STUDIS under “Documents (verifiable)”. Next to “Format” choose “Transcript of Records only for Incoming Exchange Students” and click “create”:

Please note that your access to STUDIS expires shortly after your official exmatriculation date (for the winter semester this is 31 March, for the summer semester this is 30 September). So it is very important that you download your verifiable Transcript before that date!

Please upload your Transcript to your Mobility-Online workflow and submit it to the proper authority at your home university. They can verify the Transcript’s authenticity digitally for a period of three months.
At the end of your exchange studies you will be automatically deregistered from the university.

If you need a proof of your deregistration while you are still in Augsburg, you can deregister yourself by sending form below by email to studierendenkanzlei@zv.uni-augsburg.de.
ATTENTION: As soon as you are deregistered, you will not be able to access the STUDIS platform anymore. That means you will not be able to check your exam results and download your transcript of records. Please do not de-register yourself as long as you need access to STUDIS.

Afterwards, you will receive a document named ?Bescheinigung über Studienzeiten“ to the address you have registered with, which serves as official proof of your de-registration.

Before you leave, you should also give/send back your (empty) campus card. Please make sure to withdraw the money left on your card before handing/sending in the card. Terminals that allow you to withdraw the money can be found in the mensa (cafeteria).
